Most people set up automations and forget them until something breaks visibly. Instead: add a step that logs to a simple spreadsheet or pings a channel. If the automation runs but the log doesn't update, you know something's wrong before a customer tells you.

3. Document the fix, not just the setup.

You wrote down how to build the Zap. Did you write down what to do when the Google Sheets authentication expires? When the API key rotates? When the CRM changes a field name? The "what to do when it breaks" document matters more than the "how to set it up" document.

The question worth asking

Take an hour this week. List every automation, integration, or connected tool in your stack. For each one, answer honestly: when did this last break, and who fixed it?

If the answer is "me, last month" for more than half of them, you don't have automation. You have a second job maintaining your automation.

The goal isn't more tools. It's tools that genuinely run without you. Sometimes that means simpler connections. Sometimes it means different tools. Sometimes it means accepting that a human doing the task reliably beats a robot doing it inconsistently.
